Thank You Note Best Practices

Timing is Everything

  • Send within 24 hours of your interview
  • Earlier is better - same day if possible
  • If you interview on Friday, send before end of day

Make It Specific

  • Reference something specific from your conversation
  • Show you were paying attention and engaged
  • Connect your skills to what they said they need
  • Avoid generic templates that could apply to any company

Keep It Concise

  • 3-4 short paragraphs maximum
  • Respect their time - they're busy
  • Every sentence should add value
  • Don't repeat your entire resume

Multiple Interviewers

  • Send individual notes to each person
  • Vary the content - they may compare notes
  • Reference something specific from each conversation
  • At minimum, send to the hiring manager

Common Mistakes to Avoid

  • Typos in their name or company name (deadly!)
  • Being too casual with someone you just met
  • Making it all about you instead of mutual fit
  • Waiting more than 48 hours to send
  • Sending identical notes to multiple interviewers
  • Bringing up salary or benefits in the thank you note

Subject Line Examples

  • Standard: Thank you - [Position] Interview
  • With name: Thank you, [Their Name]
